Director of Marketing & Events

 
Big Sister is looking for a Director of Marketing & Events who not only thinks “big”, but can also implement ideas on the ground. Reporting directly to the Chief Executive Officer, s/he will be responsible for managing and leading all event planning and execution as well as directing a targeted marketing strategy to increase the visibility of Big Sister Association of Greater Boston.
 
Job responsibilities include:
  • Develop and maintain comprehensive communications plan, with attention to developing the organization’s brand
  • Develop and refine Big Sister messages to ensure organizational consistency
  • Design and implement a comprehensive social media strategy for the organization
  • Develop relationships with bloggers, print reporters, columnists, and editorial staff
  • Serve as executive editor for the organization's website
Events
  • Lead two-person events team, ensuring successful coordination of all logistics for fundraising and mentoring program events
  • Maximize fundraising opportunities at events through auctions, raffles and creative requests, as well as expense management through in-kind donations, partnerships, and vendor negotiations
  • Develop event print materials, promotion, and guest experience in alignment with agency brand
  • Oversee consistent event “look and feel” working with the event staff
  • Promote Big Sister Association events including but not limited to the following:
  • Prepare and send event press releases and follow-up, i.e. post-event photos;
  • Prepare and send social media content in collaboration with the Executive Assistant/PR
  • Track and report event revenue and expenses to VP of Development & Marketing
  •  Identify and develop relationships with volunteer speakers for events and print materials (alumnae, current Big and Little Sisters, Little Sister families)
  • Conduct interviews and prep meetings with speakers to ensure speaker success
Marketing
  • Ensure brand alignment in all external communications coordinating the work of appropriate agency staff and external contractors, e.g. graphic designers, etc. 
  • Prepare marketing materials, internal and external publications, including print, electronic, and web media
  • Design publications and write and/or coordinate writing of content to target specific audiences
  • Maintain social media platforms including but not limited to: Facebook, LinkedIn, Twitter, and the Big Sister Blog
  • Manage printing projects creating a schedule to track progress
  • Coordinate regular updates to key donors, and other constituencies
  • Strategically work to identify, initiate, and enhance marketing and event relationships

Overview:
The School-Based Mentoring caseworker provides a range of clinical and administrative tasks to help the department reach its service delivery goals. Direct service responsibilities fall under three main areas: enrollment and matching of Potential Big and Little Sisters, match support to matches, and school/ site coordination.

AmeriCorps is a national community service program that gives people an opportunity to apply their skills and ideals towards helping others and meeting critical needs in the community. The Highland Street Corps Ambassadors of Mentoring is an AmeriCorps Program where members serve in mentoring programs across Massachusetts.
 
Organizational Description:
Headquartered in Boston, Mass Mentoring Partnership (MMP) is the statewide umbrella organization solely dedicated to expanding high-quality youth mentoring in Massachusetts. MMP has a rich history of catalytic involvement in the start-up and sustainability of quality mentoring programs, the execution of high-visibility mentor recruitment campaigns, and the attraction of increased public and private resources to the mentoring movement. Currently, MMP has more than 190 diverse mentoring programs in its network, representing more than 20,000 matches. MMP is a small staff working in a high leverage environment, mobilizing resources on behalf of mentoring programs diverse in target populations, geography, scope and organization development. Its organizational culture is responsive to innovation, and rich with learning and opportunities for professional development. Mass Mentoring Partnership’s AmeriCorps program, the Highland Street Corps Ambassadors of Mentoring, is currently recruiting twenty-five Ambassadors for the 2012-2013 program year, which begins on August 1, 2012 and runs through June 30, 2013. Host Site Description:
Big Sister Association of Greater Boston is the oldest and largest mentoring organization in New England exclusively serving girls and is a nationally recognized leader in providing gender-specific mentoring services. Founded in 1951, Big Sister Association has been helping girls realize their full potential by providing them with positive mentoring relationships with women. In our first year we served six girls. At the end of 2011, we served over 2,900 girls through 69 cities and towns within Greater Boston. Our vision is to create a mentor-rich community where every girl has access to the individual guidance and support she needs to inspire her to excellence in school, at home, and in the community. Throughout our history, our programs have evolved to meet the ever-changing needs of women and girls, but our mission and purpose have stayed the same: to broaden a girl’s horizons and open her world to possibility through the transformative power of mentoring.
Our programs are preventative and specifically designed to address girls’ unique social-emotional needs and help girls build confidence in their capacity to learn, competence in their decision making, and caring – their capacity to create healthy positive relationships with peers and other adults.
 
Mass Mentoring Partnership’s Highland Street Corps Ambassadors of Mentoring Program is currently recruiting twenty Ambassadors for the 2012-2013 program year, which begins on August 1, 2012 and runs through June 30, 2013. Ambassadors complete one year of service at a host organization in Massachusetts. One Ambassador will be placed at Big Sister Association of Greater Boston. 
 
Host Site Project Description:
The Ambassador of Mentoring will develop and provide support for the following projects:
        I.      Recruitment and Marketing: Build on current outreach strategies to increase the number of mentors in neighborhoods where we have the highest demand for mentors and where traditional mentor rich partners are few. These neighborhoods include Charlestown, Dorchester, Mattapan, Quincy, and Roxbury.
a.        Goals: 1) Build relationships with community organizations, neighborhood partners, and area companies to coordinate recruitment events. 2) Identify and reserve neighborhood events. 3) Staff recruitment events to engage as many new mentors as possible.
b.       Outcomes: Meet or exceed our 2012 inquiry goal of 3,207 new inquiries and meet at least 35% of our 2013 inquiry goal.
 
      II.      Program Development-Volunteer Engagement: Improve Big Sister Association’s volunteer engagement program to keep potential mentors engaged while they are in the process of being matched. At the end of 2011, 28% of women who interviewed to become Big Sisters dropped out before actually being matched. Decreasing this percentage ensures that more women recruited will actually be matched.
a.        Goals: 1) Create a volunteer engagement protocol for keeping mentors in process engaged before being matched with a Little Sister. This would include a project plan, proposed activities, and events. The Ambassador will work with staff from Recruitment and Community Partnership (R&CP) and Program to identify available volunteer engagement opportunities and develop new ones as needed. 2) Develop a shared mentor-in-process tracker that can be used by R&CP and Program staff. This tracker will be easily updated and maintained to summarize outreach and engagement of mentors in process.
b.       Outcomes: Increase the overall number of volunteers who express interest in becoming a mentor who are then actually matched with a mentee by two percentage points.
 
   III.       Program Development-Alumnae Association: Since its inception in 2008, the Alumnae Association has grown into a functioning group with 11 board members. The Ambassador will expand programming for Big Sister Association’s Alumnae Association and strengthen recruitment of members and former and current Big and Little Sisters age 18 and older. Along with recruitment, the Ambassador will plan and provide administrative support for events designed to build a strong sense of community among Big Sister Alumnae and document new and enhanced policies and practices to sustain success. Also, the Ambassador will assist in coordinating programming between the Alumnae Association and the Diversity Council to ensure cross collaboration and success around common goals. The Alumnae Association will be managed by the Manager of Recruitment and supported by the Ambassador of Mentoring. 
a.        Goals: 1) Identify and coordinate Alumnae Association events. 2) Develop recommendations to improve recruitment of current and former Big and Little Sisters age 18 and older.  
b.       Outcomes: Increase the number of current and former Big and Little Sisters engaged in mentoring and non-mentoring opportunities within the agency.
 
Essential Functions of the Position (required):
  • Be able to complete a minimum of 1700 hours of documented service to complete host site project
  • Monthly reporting to Mass Mentoring Partnership
  • Must be able to work collaboratively and within groups in order to complete group projects to benefit the field of mentoring
  • Must be able to attend all corps-wide trainings and events to cultivate future non-profit leaders, including a week-long orientation, bi-monthly corps meetings, a mid-year retreat and two service-week sessions
  • Maintain a service Portfolio
  • Must be able to effectively manage time and meet competing demands.
  • Complete all professional development requirements as part of member contract.
 
Qualifications:
  • BA/BS strongly preferred
  • Experience with and/or commitment to youth development
  • Interest in non profit organizations and their development
  • Excellent organization and communication (oral and written) skills

Big Sister Association is seeking a dynamic individual to join us as the Program Data Analyst responsible for maintaining the integrity of our case management databases—the “brains” of our services to girls and their families. This includes reports for use by staff at all levels, publication of data for external reporting purposes, e.g. media interviews, news stories, and funding grants as well as staff training and consultation to maximize effective use of this essential agency resource. This is a part-time position (20 hours per week).
 
Responsibilities:
 
Database Management
 
Ensure the integrity of the content of all the case management systems and databases. This includes the workflow and performance management system, the Agency Information Management System (AIM) and the Mentoring Automated Tracking System (MATS) database
  • Serve as the AIM and MATS administrator —the main point of contact for agency staff in need of general technical support and to external service providers to resolve system problems.
  • Establish and maintain agency-wide data entry procedures and the documentation of these procedures
  • Implement and sustain routine procedures for database error checking with appropriate follow-up response
  • Work with leadership team and staff to analyze and resolve systemic data-entry errors
  • Develop and maintain qualitative and quantitative survey database(s) for CBM, SBM and Group Services Programs, e.g. POE and bi-annual quality assurance survey.
  • Advise and support enhancements to overall systems – current and new
  • Maintain overall system security
  • Maintain MATS and AIM configuration (adding/deleting users) and troubleshooting technical issues.

Prepare statistical reports on program and recruitment operations. This includes routine performance management reports and customized reports needed for grants and other external communication (i.e. annual reports, media interviews and news stories, etc.)
  • Prepare and distribute monthly, quarterly and annual program statistics
  • Prepare statistical information for grant reports and other external publications in coordination with the Development and Marketing Dept.
  • Perform statistical analyses for planning purposes. This includes but is not limited to trend analyses and forecasting.
  • Retrieve historical data from the (MATS) and prepare reports and statistical analyses as needed.
  • Coordinate preparation and/or development of reports with Program Managers and other appropriate staff, including but not limited to:
  • Monthly Renegotiation Letters
  • Annual Breakfast Certificates
  • Anniversary Certificates
  • Quality Surveys (Program Outcome Evaluations, Youth Outcome Survey, Strength of Relationship Survey, etc...
  • Weekly email address to Mailings and Members
  • Review reports for emerging trends or problem areas and alert appropriate managers.
  • Provide input into other ways of looking at the data to assist agency staff in effectively managing to growth and quality goals
  • Update standard report formats as needed
 
Staff Training and Consultation
  • Ensure that all agency staff are trained and supported on the appropriate use of the case management database.
  • Conduct staff training and serve as a resource on the effective use of AIM and MATS. This includes planning and scheduling training for all new hires and on-going staff training as needed and fully utilizing the national BBBS Learning Center.
  • Assist staff in identifying new reporting needs. Prepare new standard reports and/or set-up reporting procedures where information can be obtained by the user on an ad-hoc basis.
  • Train appropriate staff to run established statistical reports on an ad-hoc basis.
Data Entry
 
Work with appropriate staff to ensure accurate capture and flow of information among users, the website and case management system.
  • Collaborate to ensure accurate data input into the case management system.
  • Coordinate processes to identify and resolve systemic data entry problems
  • Support maintenance of accurate and complete email distribution lists
Website Management
  • Complete updates to the Big Sister website
  • Maintain the members portal which includes assigning and distributing passwords to new Big Sisters and troubleshooting sign-on problems
Qualifications
  • Bachelor’s degree in business administration, finance or related field
  • Proficient with Microsoft Word, Excel and Access
  • Excellent organizational skills—detail-oriented and flexible in a dynamic environment
  • Demonstrated ability to effectively manage multiple assignments and deadlines
  • Ability to communicate effectively with staff who have non-technical backgrounds
  • Effective written and oral communication skills
  • Strong analytical skills
